DAM is a software category that basically consists of centralizing, standardizing, distributing and mainly managing digital files so that everyone involved in industry processes such as trade marketing, customer marketing, brand development, sales, sales’ capabilities, project management, among others, can consume always-approved, up-to-date and centralized digital assets quickly and securely.
What is File Storage Platform (AKA Cloud Storage)
Cloud Storage is an online file storage model that lets you keep your data in sync with all your devices, such as tablets, smartphones, notebooks, and desktops. Essentially the data is stored on a server and any changes made on any of your devices are propagated to others synchronized on that server (as long as they are connected to the internet).

It is undeniable that technology has made quantum leaps in the creation of platforms and services that have made our daily lives easier. Until 2012 it was not possible to access a file stored on a “virtual hard disk” in a concept that would be called “cloud” and that could be accessed at any time by any device. The concept itself is old but was not available to us internet service mortals until file storage service platforms were created. They really made life easier for users and became massively used not only by individuals, but by companies to make files available to their employees and outside collaborators. In a way this has reduced the volume of file access and transactions on the internal network as this volume now travels in the cloud rather than the corporate network.
The concept of Digital Asset Management (DAM) platforms was born in the 1990s with a focus on digital file storage for industries and poorly accessible to users. Today DAM platforms have grown exponentially due to the industry’s need for more professional and complex functionality than a simple Cloud Storage platform.
There is a big difference you need to know.
There is a fundamental difference between Cloud Storage and Digital File Management platforms and it is such a fundamental design issue that it affects product functionality and user experiences and creates a giant gap between these two types of platforms:
Cloud Storage platforms focus on users and their file collections. By default, when you save something to your folder it remains private. You can choose to place the file in a shared folder or send sharing email to that file but this template is not platform standard. It was not designed for this purpose. You can risk breaching your internal network through external third party access, and this shared email can get lost in a large inbox.
DAM platforms are asset-centric. When you store something on a DAM platform it is shared by default, but you can restrict access only to what you want to share through permissioning and moderation functionality.
The DAM platform exists to maintain large collections of files and information to provide easy access for large groups of users. When someone tells you that “the file is in DAM” you know you can easily find it, you don’t have to ask if they shared it with you or have to search your email to find the shared link they sent you as you have no idea when.
Basic tasks or productivity, control and compliance?
On the Cloud Storage platform you are supposed to know about folder and folder structures and the contents of your files, and it offers plenty of flexibility to help you organize and manage YOUR content.
The DAM platform assumes that you need help finding content since you may have generated only a small portion of it (often the content is generated by multiple stakeholders). The key value is to find diverse content that other people have also contributed through tools that help you create common structures of this information and quickly and easily navigate large amounts of files and help you find the most up-to-date, approved content you have and are looking for.
So a DAM platform is the best choice if you:
- have a large and varied distribution chain (internal and external agents);
- have multiple files and content created by various internal or external partners that you need to find, access and distribute quickly and easily;
- must grant access with different permissions to multiple users in your organization or external partners;
- need to securely share folders and files;
- want flexibility to do more than just store and share files.
